Google Calendar and Google Meet integration
Every staff member can connect their own Google Calendar to RolePark. Interviews you schedule then appear in your calendar with a Google Meet link, and Google sends the invitations to the candidate and interviewers.
In short
- A personal connection: each person connects their own Google account, and an administrator cannot see or disconnect it.
- Interviews become events in the organiser’s primary calendar with a Meet link; rescheduling and cancelling update the same event.
- Your Google events show in the RolePark calendar, visible only to you; RolePark does not store them.
- RolePark does not connect to Gmail: it does not read or send email from your mailbox.
How to connect Google Calendar
Any staff role can connect a calendar: recruiters, hiring managers and interviewers. Only you can connect or disconnect your account; company administrators cannot see or use it.
Connecting the calendar is free on every plan. Scheduling interviews is part of the ATS, which every new company gets for one calendar month at registration.
- Open Integrations in RolePark and find Calendar and meetings in the Personal group.
- Select Connect Google Calendar and sign in to the Google account whose calendar you use for interviews.
- On Google’s consent screen, keep the calendar permission ticked. Without it RolePark does not save the connection.
What happens when you schedule an interview
An event with invitations from Google
- RolePark creates the event in the primary calendar of the person who scheduled the interview.
- The candidate and the assigned interviewers are added as guests, and Google sends them the invitation.
- The event contains the interview title, the vacancy, the interview type, the call link and a link to the candidate portal. Internal links to the candidate record are not included.
- For an anonymised hiring stage, the event does not show the candidate’s name and guests cannot see each other.
A Google Meet link
Choose Google Meet in the interview form and Google creates the Meet link when you save. If you enter your own call link instead, RolePark puts it in the event and does not create a Meet.
Rescheduling and cancelling
Changing the time updates the same event, and Google notifies the guests. Cancelling the interview deletes the event. If the calendar has been disconnected or access has expired, RolePark emails the guests about the change itself.
Interview slots for the candidate
A recruiter can offer 3–10 time slots, and the candidate picks one through a link. The booked interview then goes into the organiser’s Google Calendar in the same way.
Your Google events in the RolePark calendar
Once connected, events from the calendars in your Google account appear in the RolePark calendar so that you can see busy time next to interviews. They are read-only and visible only to you. RolePark loads them when you open the calendar and does not keep a copy.
If your company uses the time-off module, an approved absence is added to your own calendar as an all-day event and removed if the approval is withdrawn.
What RolePark can access in your Google account
- Calendar permissions: create and change events, and read your calendar list and events. RolePark writes only to your primary calendar.
- Your Google email address, to show which account is connected.
- No access to Gmail, Google Contacts or Google Drive.
- Access tokens are stored encrypted (AES-256-GCM). Disconnecting revokes the access at Google; events that already exist stay in your calendar.
- If Google access is revoked or expires, RolePark stops creating events and emails you a link to connect again.
Gmail and email from RolePark
RolePark does not connect to Gmail. Emails to candidates are sent from RolePark’s own address, and replies go to the recruiter responsible for the vacancy, so they arrive in that person’s mailbox — Gmail or any other. RolePark does not read those replies.
On a candidate card, the email address can open a new message in Gmail or Outlook on the web. That is an ordinary link: the email is written and sent in your mail service, not through RolePark.
Sign in with Google is a separate step
Signing in with Google asks only for your name, email address and profile picture, and does not connect your calendar. A staff account is never created by Google sign-in: you need an invitation from your company first.
Candidates can sign in to their portal with Google too. They never grant RolePark access to their calendar.
Frequently asked questions
Does RolePark create Google Meet links automatically?
Yes, when your Google Calendar is connected and you choose Google Meet in the interview form. Google creates the link when the interview is saved.
Which calendar does RolePark write to?
The primary calendar of the person who scheduled the interview. Choosing another calendar is not supported.
Does RolePark read or send email from my Gmail?
No. RolePark has no Gmail permission. Emails go from RolePark’s address, and candidate replies arrive in the responsible recruiter’s own mailbox.
Can an administrator connect or see my calendar?
No. The calendar connection is personal: only you can connect or disconnect it, and only you see your Google events in RolePark.
What happens to events if I disconnect?
New interviews are no longer added to your calendar. Events that already exist stay in Google Calendar.
